This policy applies to the New Leaf Wellbeing website and services provided by New Leaf Wellbeing.

When you contact New Leaf Wellbeing through the website or another communication channel, information collected may include:

Please avoid including detailed personal, health or counselling information in a general website enquiry unless it is necessary for the purpose of your enquiry.
Individual Counselling
If you book counselling, additional information may be collected to provide the service appropriately.
This may include:
- Full name
- Date of birth
- Contact details
- Current city or town
- Occupation or employer, where provided
- Gender, where provided
- Marital or relationship status, where provided
- Religious or spiritual information, where provided
- Relevant health or medication information, where provided
- Information about previous counselling or current mental-health care, where provided
- Emergency contact information
- Information about what you would like support with, where provided
- Information shared during the course of counselling
Professional counselling records may also be maintained, including assessment information, session/progress notes and closure information.
Counselling sessions are not recorded.
Organisational and Educational-Institution Services
When an organisation or educational institution contacts or engages New Leaf Wellbeing, information may be collected from relevant representatives, such as:
- Name
- Professional contact details
- Organisation or institution
- Role or designation, where relevant
- Information about the service or support being requested
- Communications relating to the engagement
Where counselling is provided to employees, students, faculty or staff, individual counselling information is treated separately from information relating to the organisation or institution.
2. How Information Is Used

- Arrange and provide counselling services
- Manage appointments and related communication
- Maintain appropriate professional counselling records
- Communicate with clients regarding their sessions
- Plan and deliver organisational or educational-institution services

- Follow up on previous organisational or institutional enquiries where relevant

3. Counselling Confidentiality
Information shared during counselling is treated as confidential.
Personal information disclosed by a counselling client is not ordinarily shared with an employer, organisation, educational institution, family member or other person without the client’s permission.
There are circumstances in which confidentiality may need to be limited, including serious safety concerns or where disclosure is required or permitted by applicable professional or legal obligations.

Where counselling is provided as part of an organisational arrangement, New Leaf Wellbeing may provide overall or programme-level information to the organisation where this forms part of the engagement. Such reporting will not ordinarily identify individual counselling clients or disclose the content of their counselling conversations.
4. Emergency Contact Information
Individual counselling clients are asked to provide details of an emergency contact.
This information is collected for use where there is a serious concern regarding the client’s safety or another situation in which contacting the nominated person may be necessary in accordance with professional responsibilities and the counselling consent arrangements.
Emergency contact information is not used for routine communication or marketing.
5. Booking and Online Counselling Platforms
New Leaf Wellbeing may use third-party services to support appointment booking, communication and online counselling.
Online counselling appointments are currently managed through NeetoCal, and sessions may be conducted through Zoom or Google Meet.
These services may process certain information required to provide their functions and operate under their own privacy policies and terms.
New Leaf Wellbeing does not record online counselling sessions.
6. Payments
Counselling payments may currently be made through UPI.
New Leaf Wellbeing does not ask for or store your UPI PIN or online banking credentials.
Information relating to a payment or transaction may nevertheless be available through the relevant banking or UPI system and may be retained where required for payment verification, accounting, taxation or other legitimate record-keeping purposes.
7. Storage and Security
New Leaf Wellbeing takes reasonable steps to protect personal and counselling information from unauthorised access, disclosure, loss or misuse.
Counselling records are maintained separately from general website and business enquiries. Where client numbers are used for counselling records, identifying information linking the client number to the individual is maintained separately.
Electronic counselling records are maintained on a password-protected device, with backup records maintained separately.
Third-party services used for booking, communication or online sessions maintain information according to their own systems and privacy practices.
While reasonable precautions are taken, no method of electronic storage or online transmission can be guaranteed to be completely secure.
8. Retention of Information
Different types of information may be retained for different periods depending on the purpose for which they were collected and any applicable professional, administrative or legal requirements.
Counselling Records
Counselling records are normally retained for three years after the counselling relationship ends.
Records may be retained for a longer period where reasonably necessary because of legal, professional, safeguarding or other legitimate requirements.
Organisational and Educational-Institution Enquiries and Engagements
Information relating to organisational and educational-institution enquiries and professional engagements may be retained for business records, continuity of communication, future reference and follow-up regarding services that may be relevant to the organisation or institution.
Information will not be retained longer than reasonably necessary for these purposes or where its continued retention is no longer appropriate, subject to applicable legal or record-keeping requirements.
Payment and Administrative Records
Payment, accounting and administrative records may be retained for the period required for legitimate business, taxation, accounting or legal purposes.
9. Communications About New Leaf Wellbeing Services
New Leaf Wellbeing may contact organisational or institutional representatives in relation to an existing enquiry, previous engagement or potential future requirement where appropriate.
Separate promotional or marketing communications may be sent where the recipient has chosen to receive such communication or where otherwise permitted.
Where an option is provided to receive promotional updates, choosing not to receive them will not affect an enquiry or service.
Recipients may ask New Leaf Wellbeing to stop sending promotional communications.
10. Sharing of Personal Information
New Leaf Wellbeing does not sell personal information.
Information may be shared only where reasonably necessary, including:
- With service providers used to support booking, communication, online meetings or other operational functions
- With professional or specialist services where a referral has been discussed and appropriate permission has been obtained

- Where necessary in connection with a serious safety concern

Where third-party services are used, they may process information according to their own privacy policies and terms.
11. Website Analytics and Cookies
The New Leaf Wellbeing website does not use Google Analytics, Meta Pixel or any advertising or marketing trackers, and does not set cookies of its own.
To understand how the website is used, New Leaf Wellbeing uses Cloudflare Web Analytics, which counts page visits without using cookies and without identifying individual visitors.
The website is hosted by Cloudflare, which processes technical information such as IP addresses in order to deliver the website and protect it from misuse. The website’s fonts are served from the website itself rather than from a third party.
Enquiries sent through the website’s enquiry form are delivered to New Leaf Wellbeing by email through Resend, an email delivery service, and are not stored on the website. The form uses checks on the website’s own server to filter out spam, without a third-party service.
If the website’s use of these technologies changes, this section will be updated.
12. Individuals Under 18
Online individual counselling offered directly through New Leaf Wellbeing is intended for adults aged 18 years and above.
New Leaf Wellbeing may work with students through educational-institution engagements. Where any service involves individuals under 18, information will be handled according to the nature of that engagement and applicable consent, safeguarding and legal requirements.

You may contact New Leaf Wellbeing if you would like to:
- Ask what personal information New Leaf Wellbeing holds about you
- Request correction of information that is inaccurate or incomplete
- Request deletion of personal information where appropriate
- Withdraw consent for particular processing where consent is the basis for that processing
- Raise a concern about how your personal information has been handled
- Ask to stop receiving promotional communications
Some information may need to be retained despite a request for deletion where there is an applicable professional, contractual, legal, safety or record-keeping reason for doing so.
